Intern, Governance & Administration

ACF is seeking a highly motivated and detail-oriented intern to support our governance, reporting, and administrative functions. This role offers opportunities to gain exposure to charity governance practices, interact with senior leadership, and contribute to the smooth operation of Board and Committee, and reporting processes. The intern will assist in the preparation, organisation, and follow-up of Board and Committee meetings, maintain governance documentation, contribute to regulatory compliance and funder reporting, and help foster professional, respectful and warm engagement with key stakeholders of ACF.  

Asia Community Foundation (ACF) is an independent, trusted giving platform that catalyzes funding at scale with informed, efficient grant-making for donors acting individually or collectively. Singapore-based, this charitable organisation supports individuals, families, and institutions as their trusted partner in purposeful philanthropy.  

Established in 2022 by a group of philanthropists from Asia Philanthropy Circle, ACF was born out of the pressing need for a regional platform to facilitate cross-border giving in Asia. Our mission is to promote purposeful giving in Asia by connecting donors and nonprofits to achieve greater results than they could on their own. As a community, we believe that we can create positive change and address some of the most pressing socioeconomic and environmental issues facing Asia today.  


Responsibilities  

1. Board and Committee Support  

  • Assist in scheduling and coordinating meetings of the Board of Directors and its Committees.  
  • Support the preparation of meeting materials, including agendas, papers, presentations, and minutes.  
  • Assist in documenting and maintaining accurate records of meetings.  
  • Ensure timely distribution and secure storage of meeting documents.  
  • Support follow-up on action items and decisions from meetings as required.  

 

2. Administrative and Relationship Support  

  • Maintain contact lists and assist in the management of communications with Board and Committee members.  
  • Coordinate logistics for meetings (e.g. virtual meeting setup, refreshments).  
  • Support a warm, respectful, and professional tone in communications with senior volunteers and leadership.  
  • Provide general administrative support to CEO/COO as needed.  

3. Governance, Regulatory, and Funder Administration  

  • Maintain governance registers, including Board and Committee memberships, Terms of Reference, declarations of interest, and terms of office.  
  • Support internal reviews and updates of governance policies, manuals, and procedures.  
  • Assist with governance and regulatory filings and requirements, including support on preparation of documentation, coordinating and compiling supporting documents for annual filings and statutory reporting (e.g., to Commissioners, Registrars, or regulators).  
  • Help track funder or donor reporting timelines, support collation of programmatic and financial data from relevant teams, and assist on drafting, formatting, and reviewing funder report templates or submissions.  
  • Maintain organised records of submitted reports and related correspondence.  

Requirements  

  • Currently pursuing or recently completed a degree or diploma in non-profit management, law, public policy, business or related field.  
  • Strong organisational skills and attention to detail.  
  • Excellent written and verbal communication skills.  
  • Proficiency in Microsoft Office Suite; experience with cloud-based document platforms is a plus.  
  • Discretion and ability to handle confidential and sensitive information.  
  • Interest in nonprofit governance, regulatory compliance, and social impact work. 
  • Professionalism, maturity, and interpersonal skills to work effectively with senior leadership and volunteers.
